You will be responsible for:
- Being the first point of contact to service users and other stakeholders by email, phone and written correspondence. This includes management of the services’ phoneline and mailboxes.
- Responding to initial enquiries (email, online and phone) providing information about the organisation as required or directing these to the relevant team/person.
- Support the SL to schedule and implement the service’s delivery timetable, taking into account staff working hours and annual leave booked.
- Supporting updates to the website as well as staff intranet, ensuring all content and details are accurate and relevant.
- Keep the services’ webpages up to date, ensuring all content and session details are accurate and relevant.
- Manage all bookings, either online or by phone and email, including the collation and processing of enrolment and registration forms. This may include notifying customers of urgent changes to course dates and cancelled sessions due to extreme weather conditions.
- Liaise with Finance for the preparation and issuing of invoices. Track payments received as required to support the work of the finance team.
- Prepare attendee/registration sheets for session leaders.
- Liaising with Marketing and Communications team regarding booking numbers for upcoming courses, ensuring all information is correct and current, providing details and specifics where necessary.
- Support the Senior leaders to prepare monthly/quarterly reports for Directors.
- Liaise with the Learning & Development Officer regarding staff CPD opportunities.
- Working with our awarding body, ITC First, to enrol learners, upload trainer qualifications, upload assessments and issue certificates.
- Support the IQA process for the centre by keeping up to date with policy updates.
- Sending of customer questionnaires/feedback and collating of responses as required.
- Ensure that all forms and templates used by the team are prepared in line with our Brand Guidelines.
- Maintain the Training online workspace.
- Support the SL with their diary management.
- Provide other administrative support to SL as required.
You are expected to be aware of and adhere to all policies and procedures for The Outdoors Group.
