We are looking for an events coordinator to manage event logistics, drive attendance at events and provide excellent customer service to our speakers, attendees and sponsors. This role calls for strong attention to detail, excellent communication skills and the ability to multitask effectively.
About the role
This post will play a key role in developing our events and communications to maximise Regen’s position as a leading independent organisation shaping the strategic pathway to, and delivery of, a clean energy future.
Key elements of this role include:
- Coordinating the delivery of high-quality events – both in-person and virtual – that bring together energy system actors, local authorities and industry leaders from across the whole energy system.
- Promoting Regen’s events and thought leadership through digital communications and social media.
- Managing event logistics, from initial planning through to on-the-day delivery and follow-up, maximising relationships and members.
- Supporting wider marketing and outreach campaigns to grow our audience and increase our impact. This role requires strong attention to detail, excellent communication skills and the ability to manage multiple projects effectively. It will suit someone who enjoys being at the centre of a fast-paced, mission-driven team and has a flair for organisation.
Key responsibilities
Event coordination and logistics
- Event planning: Lead on venue booking, AV set-up, catering, speaker arrangements and risk assessments for Regen events.
- Delegate and speaker communications: Send invitations, joining instructions, join speaker briefing calls, manage feedback surveys and follow-up communications.
- Systems and reporting: Monitor team inboxes (membership, events, press), track event engagement metrics and compile insights to support evaluation and reporting.
- On-site and virtual support: Attend in-person events or provide technical and logistical support for online delivery to ensure smooth operations.
- Quality assurance: Ensure all communications are proofed and processes align with Regen’s policies on procurement, finance and data protection.
Communications
- Design: Create high-quality graphics and visual assets for events, presentations, social media and event promotion using tools such as Canva and Adobe Suite.
- Website management: Keep the Regen website up to date with upcoming and past events.
- Social media: Draft posts for events and manage Regen’s LinkedIn and HubSpot campaigns for events. Collaborate with the wider team to gather content and track engagement.
- HubSpot and CRM: Manage Regen’s CRM system, clean and input event data, and ensure GDPR compliance.
- Marketing campaigns: Support the creation of marketing lists, email campaigns and targeted outreach to new and priority audiences.
Skills and experience
1+ years’ experience in events or communication-related fields
- Excellent relationship management and interpersonal skills and experience in building and maintaining effective networks
- Exceptional organisational skills with excellent attention to detail and the ability to juggle short and long-term outputs
- Proficiency in digital tools like Canva, HubSpot, MS Office and website CMS platforms
- Ability to engage diverse audiences and communicate effectively at different levels
- Project management experience.
